Adjustments and corrections

In short

Most lines on a payout are sales and refunds from Shopify. The rest are lines a person added, each with a name and a reason: charges, bills paid directly, items lost or damaged, goodwill refunds, adjustments and money owed from before. Nothing recorded is ever rewritten; a mistake is put right with a line of its own.

A vendor's payout is mostly sales and refunds, worked out from Shopify. Everything else on it is a line someone added on purpose, with the person's name and their reason in the record. That's what makes a payout easy to explain months later.

Each opens like a sale, with a timeline that says what happened, when, and who did it.

Add an adjustment#

For anything no other button covers: a mispriced item, a sale counted under the wrong vendor, money paid twice, a refund the store decides to cover. On a vendor's Money tab:

  1. Press Add an adjustment under Toward their next payout. While that line is closed, press Add at its end instead, then An adjustment.

  2. Type the Amount. Put a minus in front to take money off.

  3. Pick the Date it's for. Today is filled in.

  4. Write the Reason, like "Mug priced at $28.00, sold at $18.00". The vendor reads it on their payout.

  5. Add notes under Anything else; only you and your team see those.

  6. Press Add adjustment.

It goes on their next payout as Adjustment, named by your reason, with "Added to your share" or "Taken off your share" under it. Until a payout carries it, Remove takes it off. Once it's on a payout, it stays; put a mistake right with another adjustment.

Example Alder Ceramics' mug was tagged $18.00 instead of $28.00. At their 60% that's $6.00 they should have earned. Add an adjustment of 6.00 with the reason "Mug priced at $28.00, sold at $18.00", and their next payout carries it.

Owed from before#

When you started, you may have owed some vendors for sales from before your Record start day. That's an opening balance. On a vendor's Money tab:

  1. Press Owed from before under Toward their next payout, or Add at the end of the closed line, then Owed from before.

  2. Type the Amount. "Put a minus in front if they owe you."

  3. Pick Owed since: today or an earlier day.

  4. Say Why, like "Carried over from our old spreadsheet". Add notes under Anything else; only you and your team see those.

  5. Press Add it.

It goes on their next payout as Opening balance. Until a payout carries it, Remove takes it off: "To change the amount, remove this and add it again." Once it's on a payout, it stays.

Putting a mistake right#

Nothing recorded is rewritten. You add a line that corrects it, and both stay in the record.

Who can add them#

Only an Admin. A Viewer sees every line and its reason, but can't add or remove one.

Common questions#

Can I edit a sale's amount directly?
No. A sale's working is kept as it was. Add a line for the difference, so the record shows both. More
Does the vendor see the reason I type?
They see the line's name, like Booth rent or Opening balance. The notes under Anything else are only for your team. More
Why can't I remove a line that's on a payout?
A landed payout is a record you both rely on. Add a correcting line instead, and both stay visible. More
