Admin and Viewer

In short

Your team are your Shopify staff. Each joins VendorDue as a Viewer the first time they open it, and can read everything. Make someone an Admin when they should pay vendors, change terms and settings, or message vendors. The Shopify store owner is always an Admin.

You don't invite your team to VendorDue. Anyone on your Shopify staff who can open the app can use it, and Settings, then Team decides what they can do.

A Viewer sees every page an Admin sees. The buttons that change things aren't there for them.

How people join#

"Your Shopify staff join as viewers the first time they open VendorDue." To give someone a role before then, they open VendorDue once from your Shopify admin, then you change it.

To make someone an Admin, find them in Settings, then Team and change What they can do. The Shopify store owner is Always an admin.

Two-step sign-in for your team#

Require two-step authentication asks your team for a code from an authenticator app, or a passkey, when they sign in outside Shopify. "Never applies to vendors." While PayPal is connected it stays on. See Signing in and two-step.

When someone leaves#

In Settings, then Team, press Remove access beside them: "They lose VendorDue the next time they open it, and only an administrator can let them back in. Nothing they already did is removed." Restore lets them back in.

Remove them from your staff in Shopify too. Shopify doesn't tell apps when someone leaves, so someone who signs in outside Shopify keeps access for up to 14 days after they last opened VendorDue inside Shopify, unless you remove it here.

Their name stays on everything they did, like a payment they recorded, so the record still says who.

Common questions#

Can I give my accountant access?
Yes, as a Viewer. They need a staff or collaborator account on your Shopify store with access to the app. See Month end with your accountant. More
Is there a role between Viewer and Admin?
No. Two roles keep it clear who can move money: an Admin can, a Viewer can't. More
Can a Viewer see vendors' PayPal or Venmo addresses?
Only shortened, like Venmo •••• 0123. The full address is in files only an Admin can download, after confirming it's them. More
