Vendor access
In short
A vendor's Access tab decides who can open their page and what they can do there. One email holds the page at a time; you can pause it, move it to a new address, or close it by archiving. Contacts are for your team to know who to write to, and never sign in.
Everything about who can reach a vendor's page is on their Access tab. Inviting them is covered in Invite vendors; this page is for what comes after: people change, emails change, relationships end.
One email holds the page#
Each vendor's page is opened by one email address at a time, the one under Their portal. That's deliberate: a payout record should have one owner you can name.
If the person running the vendor changes, or they want a different address, change it under Their portal: "One email holds the portal at a time. The old address stops working the moment you send this." Press Move access to this email, and the new address gets an invitation.
A person can hold the pages of vendors in several stores with one account, and switch between them. See Signing in, and several stores.
Pause, archive or end#

Contacts#
People you deal with is for your team: who to write to at that vendor. Add their name, email and What they handle: Main contact, Invoices and payments, Products and stock, or Something else. "Nobody yet. Add them so the next person on your team knows who to write to."
Contacts don't sign in and get no emails from VendorDue. Only the email under Their portal opens the vendor's page.
Contact email#
The Contact email is where you reach them, separately from the address they sign in with: "Changing it never moves their portal." It's also where a Wise file pays them if they haven't saved PayPal or Venmo. See Send now with PayPal.
How their page stays safe#
- Their password is theirs. You never set it or see it, and neither do we. They reset it themselves.
- Payout details are guarded. When a vendor points payments at a new PayPal or Venmo address, it waits 48 hours, and both their sign-in email and their old payout address are told, with a link to stop it.
- They only ever see their own. No vendor can open another vendor's sales, payouts or messages.
Common questions#
- Can two people at one vendor both sign in?
- Not to the same vendor page. One email holds it. Add the second person under People you deal with, so your team knows them. More
- A vendor's staff member left. What do I do?
- If they held the page, move access to the vendor's new address. Their old address stops working at once. More
- Can I see when a vendor last looked?
- Yes. Their Portal line says when they accepted and when they were last on their page. More
