Your copy of the data

In short

An Admin can download everything VendorDue keeps for your store, as spreadsheets and pages in one ZIP file, from Settings › Data and privacy. The copy is ready in a minute or two and waits 7 days. Start over clears what VendorDue worked out and begins again from today, without touching Shopify.

AdminIn the app: Settings, then Data and privacy

Your record of what you owed and paid your vendors is yours. Keep a copy whenever you like, and always before you uninstall.

Download everything#

In Settings, then Data and privacy, under Your copy, press Prepare a copy. It asks you to confirm it's you, then: "Preparing your copy. It usually takes a minute or two, and we email you when it is ready."

When it's ready, Download sits beside it, with "Ready until" a date 7 days away. After that the copy is deleted; prepare a new one whenever you need it.

Only an Admin can prepare or download it.

What's inside#

One ZIP file. Open README.html first: it says what each file holds.

FileWhat it holds
vendors.csvEach vendor, their names, status, contacts, consignor rate and portal
rates.csvEvery consignor rate, shop-wide and each vendor's own, with the days it applied
lines.csvEvery sale, refund and adjustment, with what each vendor earned
payouts.csvEvery payout: the days it covers, when it landed, its total, what's paid and what's left
payments.csvEvery payment, how it was made, its reference and PayPal's status
checks.csvEvery check, its number and what happened to it
charges.csv, bills.csvCharges you take and bills vendors paid you
agreement-acceptances.csv, item-marks.csvWho accepted your written agreement, and items marked in the store
activity-log.csvWho changed what, and when
store.csv, team.csvYour store's settings, and everyone who can or could open VendorDue
messages/One page per conversation, with its attached files

The CSV files open in Excel, Google Sheets or Numbers, and your accountant can use them as they are.

Vendors' PayPal and Venmo addresses aren't in the copy. Customers' names aren't either, because VendorDue never kept them.

Start over#

Start over clears what VendorDue worked out and starts recording again from today: "Your orders, products and vendors stay in Shopify. This clears what VendorDue itself worked out, and it cannot be undone." Choose what to start over:

ChoiceRemovesKeeps

Each choice names the actual counts before you press anything, like "the record of 14 payments". Pressing Keep everything closes it with nothing changed.

When it looks wrong#

"The last copy could not be prepared"#

Try again. If it fails twice, tell support.

Some files "did not fit"#

A copy with very large attachments may leave some out. The README inside lists which ones. Download them from the conversation in Messages.

Common questions#

Can I bring this copy back into VendorDue later?
No. It's a copy for your records and your accountant, not a backup to restore. More
Does Start over change anything in Shopify?
No. Your orders, products and customers in Shopify are never touched. More
Can my vendors download their own records?
Yes. Every payout on their page downloads as a PDF or spreadsheet. More
