# Your copy of the data

Account > Data and privacy · Guide · https://vendordue.com/docs/your-data

**In short:** An Admin can download everything VendorDue keeps for your store, as spreadsheets and pages in one ZIP file, from Settings › Data and privacy. The copy is ready in a minute or two and waits 7 days. Start over clears what VendorDue worked out and begins again from today, without touching Shopify.

Who: Admin. Where: Settings > Data and privacy.

Your record of what you owed and paid your vendors is yours. Keep a copy whenever you like, and always before you uninstall.

## Download everything

In **Settings > Data and privacy**, under **Your copy**, press **Prepare a copy**. It asks you to confirm it's you, then: "Preparing your copy. It usually takes a minute or two, and we email you when it is ready."

When it's ready, **Download** sits beside it, with "Ready until" a date 7 days away. After that the copy is deleted; prepare a new one whenever you need it.

Only an Admin can prepare or download it.

## What's inside

One ZIP file. Open **README.html** first: it says what each file holds.

| File | What it holds |
| --- | --- |
| vendors.csv | Each vendor, their names, status, contacts, consignor rate and portal |
| rates.csv | Every consignor rate, shop-wide and each vendor's own, with the days it applied |
| lines.csv | Every sale, refund and adjustment, with what each vendor earned |
| payouts.csv | Every payout: the days it covers, when it landed, its total, what's paid and what's left |
| payments.csv | Every payment, how it was made, its reference and PayPal's status |
| checks.csv | Every check, its number and what happened to it |
| charges.csv, bills.csv | Charges you take and bills vendors paid you |
| agreement-acceptances.csv, item-marks.csv | Who accepted your written agreement, and items marked in the store |
| activity-log.csv | Who changed what, and when |
| store.csv, team.csv | Your store's settings, and everyone who can or could open VendorDue |
| messages/ | One page per conversation, with its attached files |

The CSV files open in Excel, Google Sheets or Numbers, and your accountant can use them as they are.

Vendors' PayPal and Venmo addresses aren't in the copy. Customers' names aren't either, because VendorDue never kept them.

> **Recommended:** For one month's figures, you don't need the whole copy. Download the month from Reports instead. See [Reports and downloads](https://vendordue.com/docs/reports-and-downloads).

## Start over

**Start over** clears what VendorDue worked out and starts recording again from today: "Your orders, products and vendors stay in Shopify. This clears what VendorDue itself worked out, and it cannot be undone." Choose what to start over:

| Choice | Removes | Keeps |
| --- | --- | --- |
| **Everything** | Vendors with their consignor rates, recorded sales, payouts, notes, messages, pay days, your PayPal connection, every setting you changed, and the record of every payment | Your Shopify connection and your team |
| **Just what VendorDue worked out** | Vendors with their consignor rates, recorded sales, payouts, notes, messages, and the record of every payment | Pay days, your PayPal connection and your settings |
| **Everything except what you have already sent** | Every sale no payout carries yet | Payouts that landed, with their payments, and your vendors with their consignor rates |

Each choice names the actual counts before you press anything, like "the record of 14 payments". Pressing **Keep everything** closes it with nothing changed.

> **Careful:** Prepare a copy first. Your vendors' pages show what you published, and starting over takes it away from them too. If it removes payment records or your PayPal connection, it asks you to confirm it's you.

## When it looks wrong

### "The last copy could not be prepared"

Try again. If it fails twice, tell support.

### Some files "did not fit"

A copy with very large attachments may leave some out. The README inside lists which ones. Download them from the conversation in **Messages**.

## Common questions

**Can I bring this copy back into VendorDue later?** No. It's a copy for your records and your accountant, not a backup to restore.

**Does Start over change anything in Shopify?** No. Your orders, products and customers in Shopify are never touched.

**Can my vendors download their own records?** Yes. Every payout on their page downloads as a PDF or spreadsheet.
