# Statuses and tags

**In short:** Every status VendorDue shows on a sale, a payout, a payment, a check and a vendor, with what it means and what, if anything, to do. Statuses always say why and until when, so you rarely need this page.

Who: Admin, Viewer. Where: Everywhere.

Each status here is the one word VendorDue uses everywhere for that state, on your screens and on your vendors' pages.

## A sale

| Status | Means | Do |
| --- | --- | --- |
| On hold | Its money isn't safe to pay yet. It says why and until when | Nothing, unless it's **Held by you** or **Needs a decision** |
| Scheduled | Every hold has ended, and it knows the payout it lands on | Nothing |
| To pay | Its payout landed and you owe it | Pay it |
| Paid | A payment you recorded covers it | Nothing |

Beside a sale, a shipping tag: **Shipped**, **Partly shipped** or **Not shipped yet**.

## A payout before it lands

| Status | Means |
| --- | --- |
| **Open until** a day | Sales made up to that day still join it |
| **Final** | No new sale can join. Only a refund can still change it |

## A landed payout

| Status | Means |
| --- | --- |
| **To pay** | Nothing paid yet |
| **Part paid** | Some paid, the rest still on To pay |
| **Paid** | Paid in full |

On **To pay**, payouts are grouped **Overdue**, **Today**, **Landing soon** and **Owed to you**, and each says how long it's been "Waiting". See [To pay and Pay now](https://vendordue.com/docs/to-pay).

## A payment

| Status | Means | Do |
| --- | --- | --- |
| **Recorded** | You wrote down a payment you made | Nothing |
| **Voided** on a day | You undid it, with a reason. What it paid is back on To pay | Pay it again, the right way |
| **Sent, waiting for PayPal** | Send now went out; PayPal hasn't answered yet | Wait, or **Ask PayPal again** |
| **Sent, waiting to be claimed until** a day | The vendor has no PayPal account on that address yet. PayPal returns it after 30 days | Ask the vendor to claim it |
| **Received** on a day | PayPal says it arrived | Nothing |
| **Returned**, **Refunded** or **Failed** on a day | PayPal didn't complete it. What it paid is back on To pay | Check their address, then pay again |
| **Sent back** | The money came back to you after it was paid | Pay it again |
| **Paid ahead** | You paid more than was owed. It comes off their next payouts | Nothing |

## A check

| Status | Means |
| --- | --- |
| **At the store** | Issued, waiting for the vendor. They see **Ready to pick up** |
| **Picked up** | They have it |
| **Mailed** | You posted it |
| **Cashed** | You marked it cashed |
| **Expired** | Past its good-until date, not cashed |
| **Not collected** | Not picked up, and you kept it for the store |

## A vendor

| Tag | Means |
| --- | --- |
| **New from Shopify** | Found on your products, not set up yet |
| **Needs setup** | Their sales wait until they have a consignor rate |
| **Shop-wide** | On your shop-wide terms |
| **Own consignor rate** | On terms of their own |
| **Agreement ended** | Their agreement ran out without a renewal. Their charges stop |
| **Archived** | Their new sales earn nothing; what they're owed stays owed |

## Their page

On a vendor's **Access** tab, **Their portal** says where their page stands:

| Status | Means | Do |
| --- | --- | --- |
| **Not invited** | You haven't invited them | [Invite them](https://vendordue.com/docs/invite-vendors) |
| **Waiting for them** | The invitation is open | Nothing yet |
| **Invitation ran out** | They didn't accept in time | Invite them again |
| **Email did not arrive** | Their address bounced | Check the email and invite again |
| **Signed in** | They've accepted and can open their page | Nothing |
| **Access paused** | You turned off **They can sign in** | Turn it back on |
| **Not signed in any more** | They declined, or their invitation expired | Invite them again |
| **Archived** | Archiving closed their page | [Bring them back](https://vendordue.com/docs/archiving-vendors) |

## Common questions

**Why do my vendors see different words?** They see the same states from their side. Money on a landed payout you haven't paid reads **Not paid yet** to them, and a check at the store reads **Ready to pick up**.
