# Invite vendors to their page

**In short:** Each vendor can have a page of their own, free, showing their sales, payouts, receipts and agreement. Invite them from their Access tab with their email. They make their own account, and you decide what they see.

Who: Admin. Where: Vendors > a vendor > Access.

Inviting a vendor is optional. VendorDue works out what they earn and keeps the record whether they sign in or not. The difference is who answers "when do I get paid?": with their own page, they can see it for themselves.

## What they get

Their own page shows them, and only them:

- Their payouts, each with every sale, refund and charge on it, and their receipts.
- When their next payout lands.
- Their consignor rate and terms, and your written agreement to read and accept.
- Messages with you, pinned to the sale or payout they're about.
- Their sales as they happen, if you turn on live sales.

They never see another vendor or any of your settings. See [What vendors see](https://vendordue.com/docs/what-vendors-see).

## Send the invitation

1. Open the vendor in **Vendors** and go to their **Access** tab.
2. Press **Their portal**, which reads **Not invited**.
3. Type their email and press **Send the invitation**.
   The row now reads **Waiting for them**.

You can also invite them in Vendor setup's Access step: turn on **Invite them to their portal**, and the email goes out when you save.

They get an email from "Fernhill Pottery via VendorDue" saying you want to share their payouts with them. They press **Create your account**, choose their own password, and accept. Their password is theirs: if they forget it, they reset it from the sign-in page without asking you.

## Where an invitation stands

**Their portal** on the Access tab always says where things are, and what to do next:

| It reads | Means | What to do |

| **Waiting for them** | The email arrived and they haven't answered | Nothing, or remind them. **Send it again** sends a reminder |
| **Email did not arrive** | Their mail server refused it | Check the address, then send it again |
| **Invitation ran out** | 30 days passed with no answer | Send it again |
| **Signed in** | They accepted and can see their page | Nothing |
| **Not signed in any more** | They turned the invitation down, or their access ended | Invite them again if they want back in |
| **Access paused** | You turned off **They can sign in** | Turn it back on when you're ready |

## What you control

Three switches on the Access tab decide what each vendor can do:

- **They can sign in.** Turn it off to pause their access. They see nothing while it's off, and nothing they had is lost.
- **Messages from them.** Whether they can write to you. Paused, both of you can still read everything already written.
- **Live sales.** Whether they see each sale as it happens, marked as not final until its payout lands, or only once a payout lands. Each vendor follows your answer in **Settings > Vendors** until you give them their own.

> **Recommended:** Turn on live sales once you've checked your consignor rates are right. Vendors who can see a sale arrive stop asking whether it went through.

## Changing their email

Two emails sit on the Access tab, and they do different jobs:

- **Their portal** has the address they sign in with. Changing it moves their access: the old address stops working the moment you send it.
- **Contact email** is where you reach them. It never moves their access.

## When it looks wrong

### "That address already has access to another vendor in your store"

One email signs in as one vendor per store. If the same person runs two of your vendors, ask them for a second address for one of them.

### They say the email never came

Look at **Their portal**. If it reads **Email did not arrive**, the address is wrong or their mail server refused it; correct it and send it again. If it reads **Waiting for them**, the email was delivered: ask them to look in spam or promotions for an email from "Fernhill Pottery via VendorDue", or press **Send it again**.

### They can't sign in

If the row reads **Access paused**, turn **They can sign in** back on. Otherwise send them to [Signing in, for vendors](https://vendordue.com/docs/vendor-signing-in). We never ask you, or them, for their password.

## Common questions

**Do vendors have to pay for their page?** No. Their page is free for them. Your plan covers it.

**Can I see what a vendor sees?** Not as them, but their payouts and receipts are the same ones you see on their Money tab. What vendors see walks through their page.

**How long does an invitation last?** 30 days. After that it reads Invitation ran out, and you can send it again.

**Can a vendor see other vendors or my settings?** No. A vendor sees only their own sales, payouts, terms and messages.
