# How VendorDue shows money

**In short:** Every amount is in your store's currency and belongs to one of four stages: On hold, Scheduled, To pay or Paid. A sale shows two shares, the vendor's and yours, and an amount that is still moving says how certain it is.

VendorDue shows the same few kinds of number everywhere, on your screens and on your vendors'. Once you know them, every page reads the same way.

## Two shares of every sale

Each sale is split in two. The **vendor's share** is what they earn; **your share** is what the store keeps. Together they make up the figure the share is worked out on, which is usually the sale's revenue: what the customer paid for the item, less any discount and less tax.

In a list, a sale reads like this: **$72.00 of $120.00 revenue**. The first figure is the vendor's share, the second is what it was worked out on. Open the sale and you see every step of the working. See [How a sale is worked out](https://vendordue.com/docs/how-a-sale-is-worked-out).

## Four stages

Money that a vendor earned is always in one of four stages, each with its own colour. The word always sits beside the colour, so you never have to tell them apart by colour alone.

- On hold: a hold is still open. Every held sale says why and until when: "until it ships", "return window, until 18 Sep", "until they're owed $50.00".
- Scheduled: every hold has cleared, and the sale knows the day its payout lands.
- To pay: its payout has landed and you haven't paid all of it yet. Your vendor sees the same money as **Not paid yet**.
- Paid: payments you recorded cover it.

Money moves forward through these. Only a voided or sent-back payment moves a payout back to To pay, and a refund is a line of its own. See [The four stages](https://vendordue.com/docs/four-stages) for every case.

## How sure an amount is

An amount that hasn't landed yet can still change: a new sale can join it, or a refund can come off. Upcoming payouts say how sure they are:

| It reads | Means |
| --- | --- |
| **Open until Sat, 31 Oct** | Sales made up to that day still join this payout |
| **Final** | No new sale can join. Only a refund can still change it |
| **If it ships** | Part of it is waiting for a parcel to ship. It's shown beside the amount, never in it |
| **Pay day** | One of your pay days with nothing on it yet. No amount is shown |

Once a payout lands, its amounts are fixed for good.

## Minus amounts

A minus sign means money coming off a vendor:

- **A refund**, like `-$8.25 of -$41.25 revenue`: the vendor's share of the refund comes off. If their payout already landed, it **comes off their next payout**.
- **A charge**, like booth rent: money the vendor owes you, taken from their next payout.
- **They owe you**: when refunds and charges are bigger than what a vendor has earned, no payout lands for them. The difference waits and comes off their next one, and nothing is ever paid below zero.

## Currency

Every amount is in your store's currency, written with its code, like **$120.00 USD**. VendorDue never converts money. If a customer paid in another currency, the sale is recorded at the amount Shopify converted it to, and the sale's working shows what they paid and the rate Shopify used.

> **For your accountant:** Each sale line is rounded once, half up, to the cent, after the share is worked out. Payouts add up exactly from their lines. Nothing on a landed payout is ever recalculated; corrections are new lines with a reason.

## The Example tag

A figure marked (example) is made up, so you never take it for a real sale. You see it in these docs, on your Terms in Settings, and in the consignor rate editor, where a $120.00 sale is run through what you've set.

## Common questions

**Why does a sale show two amounts?** The first is the vendor's share, the second is the figure it was worked out on, usually the sale's revenue. "$72.00 of $120.00 revenue" means the vendor earns $72.00 from a $120.00 sale.

**What does a minus amount mean?** Money coming off a vendor: their share of a refund, or a charge like booth rent. It comes off their next payout.

**Can a payout go below zero?** No. When refunds and charges are bigger than what a vendor earned, no payout lands. The difference comes off their next one.

**Does VendorDue convert currencies?** No. Everything is in your store's currency, at the amount Shopify recorded for the sale.
