# Emails we send

Account > Data and privacy · Reference · https://vendordue.com/docs/emails-we-send

**In short:** Each person on your team chooses their own emails in Settings › Notifications; Admins start with the useful ones on, Viewers with none. You choose once which emails your vendors get. A few always come, because they protect money or access. Every switched email has a link at the bottom to stop it.

Who: Admin, Viewer. Where: Settings > Notifications.

VendorDue emails you when something is worth leaving your inbox for, and the bell inside VendorDue shows everything else. "The bell inside VendorDue shows everything that needs you, whatever you choose here."

Times are your store's time zone.

## Your emails about the store

Each person turns these on or off for themselves in **Settings > Notifications**, under **About your store**. Admins start with the first four on; Viewers start with everything off.

| Email | When it comes |
| --- | --- |
| **Money landed in To pay** | "On days payouts land, at 8 am" |
| **Messages a vendor emails to you** | When a vendor sends you a message by email |
| **A vendor asked to be paid** | "When it happens, between 7 am and 9 pm" |
| **A vendor's agreement is ending** | "14 days before it ends, and on the day" |
| **Unread messages** | "Twice a day, at 9 am and 3 pm" |

## What your vendors get

An Admin sets these once for every vendor, under **Your vendors get**.

| Email | When it comes |
| --- | --- |
| **Their payout landed** | "On its landing day, at 8 am" |
| **A receipt when you record a payment** | Where the receipt switch starts on each payment. You can change it there. Issuing a check uses the same switch: "Your check from Fernhill Pottery is ready to pick up" |
| **Your messages by email** | Where the message's email switch starts. You can change it on each message |
| **Their agreement is ending** | "14 days before it ends, and on the day" |
| **A bill for their charges** | "On the bill's day, at 8 am" |

Vendor emails come from your store's name, like "Fernhill Pottery via VendorDue". Vendors also always get their invitation and anything about their payout details.

A vendor can stop all of your store's emails from the link at the bottom of one. Sign-in codes and anything about their payout details still come, "because they keep your account and your money safe."

## Emails that always come

These have no switch, and **Some emails always come** says why:

| Email | Why it always comes |
| --- | --- |
| Sign-in codes | "You asked for one" |
| Your password was changed | "The alarm if it was not you" |
| PayPal connected or disconnected | "It carries the link that stops it" |
| A payment came back | "You owe it again" |
| VendorDue stopped reading your orders | "Payouts come up short until it is fixed" |
| Plan and billing notices | "They change what the store can do" |
| Deleting the workspace | "Nothing undoes it after" |
| Your copy of the store is ready | "You asked for it" |
| A customer's data request | "Shopify's privacy rules ask for it" |
| Support codes and replies | "You wrote to us" |

## Stopping an email

Every email you can turn off has **Stop these emails** at the bottom. Opening the link changes nothing, in case a mail scanner opens it; the button on the page it opens stops the email, and **Undo** puts it back. You can also turn it back on in **Settings > Notifications**.

## When it looks wrong

### I didn't get an email I expected

Check **About your store** in **Settings > Notifications**: it may be off for you. "Emails go to" your address, the one Shopify has for you, at the top of that page. Then check your spam folder.

### A vendor says they never got their payout email

They may have stopped your store's emails. Their payout is still on their page, and you can write to them in **Messages** instead.

### I get too many emails

Turn off **Unread messages** and **Messages a vendor emails to you**. The bell and the number beside Messages still show you what's waiting.

## Common questions

**Can I change the 8 am time?** No. Payout emails go at 8 am in your store's time zone, so they arrive at the start of the working day.

**Can Viewers get emails?** Yes. Each Viewer can turn on any of the emails about the store for themselves.

**Do my emails mention customers?** No. VendorDue never keeps customers' names, so no email can name one.
