# Archiving vendors

**In short:** Archive a vendor who has stopped selling with you. New sales of their products earn them nothing, they leave Needs setup, and their page and history stay. Whatever they were already owed stays owed. Bring them back any time. VendorDue can archive quiet vendors for you.

Who: Admin. Where: Vendors > a vendor > Summary, Settings > Vendors.

Vendors come and go. When one stops selling with you, archive them: they leave your everyday lists, and their history stays exactly as it was. Nothing in VendorDue is ever deleted.

## Archive a vendor

On their **Summary**, press **Archive this vendor**. VendorDue checks with you: "New sales on their products earn them nothing. What they are owed stays owed, and you can bring them back any time." Press **Archive them**.

To archive several at once, tick them in **Vendors** and press **Archive**.

## What changes

- **New sales earn them nothing.** If a product with their name sells, VendorDue asks you about it first. See below.
- **They leave All and Needs setup**, and move to **Archived**.
- **What they were owed stays owed.** Sales they'd already earned still land on their pay day, and anything in To pay waits for you to pay it.
- **Their page and history stay** on your side, with every sale, payout and receipt.
- **They can't open their own page.** If they try, they read: "Fernhill Pottery has archived this relationship. Ask them to bring it back if that is a mistake." If they need a payout or receipt, download it and send it to them.

Archiving changes nothing in Shopify. If their products are still listed, take them down there too, or they can still sell.

## Bring them back

Open **Archived** in **Vendors**, open the vendor and press **Bring this vendor back**, or tick several and press **Bring them back**. They earn from their next sale, on the terms they had.

## When an archived vendor's product sells

A sale under an archived vendor's name doesn't earn quietly. It waits in **Activity > Needs attention**: "Alder Ceramics is archived, but Stoneware mug still sold under their name." Choose:

- **Bring them back**, and pay them for it as usual.
- **I changed it in Shopify**, if the product now belongs to another vendor or to you.
- **Ignore their sales**: "Every sale on Alder Ceramics' products earns them nothing from now on. Nothing already earned changes."

## Let VendorDue archive for you

In **Settings > Vendors**:

| Setting | Archives a vendor |
| --- | --- |
| **Archive vendors with no sales** | After 30, 60, 90 or 180 days, or a year, with no sales. "Measured from their last sale, or from the day they were added or brought back." |
| **Archive vendors whose products are gone** | "Once none of their products are left in your Shopify store." |

A vendor is also archived by itself once their agreement has ended and nothing of theirs is still open.

None of these archives a vendor with anything earned, held, owed or charged. Their page says why they were archived, like "VendorDue archived them after a stretch with no sales, as your Vendors settings ask."

## Common questions

**Can I delete a vendor?** No. Their sales and payouts are part of your record, so a vendor is archived, never deleted.

**Does an archived vendor still see their page?** No. Their page is closed to them until you bring them back. Archive someone you still owe only once you've paid them, or send them their payouts yourself.

**Do I need to archive vendors at all?** No. It keeps your lists short. A vendor with no sales does no harm left where they are.
